Capacity of the conference site
Working and dining rooms are prepared for conferences with at most 60 persons. There are 35 guest rooms with shower or bath and telephone; 7 of them are usable as double rooms. At full occupation 42 persons can be lodged; additional rooms should be reserved by the organizer in Rottach-Egern or Kreuth as early as possible. Externally lodged guests can take their meals at the castle.

The Kurverwaltung Rottach-Egern and the management of the castle can help reserving rooms. 

Arrival and Departure
Conferences can be scheduled on a weekly basis from monday to friday. Arrival and departure during the weekend is possible, but (with the exception of breakfast on saturday) no meals can be served. Arrival on sundays should be between 4:00 and 10:00 p.m. On the day of departure rooms should be vacated by 9:00 a.m. 
If five working days aren't needed for a meeting, the house can also be reserved from monday to wednesday or from wednesday to saturday. In this case lunch on wednesday is possible only by special arrangement. 

Working rooms
For workshops there are two rooms, each with desks for 26 people, and a meeting room for 10 people. The lecture hall accommodates 60 people if equipped with chairs or 48 if desks are necessary.

Special Hints about the Internet Connection
The local network connects the following rooms:
Duke's study, blue seminar room, green seminar room, library, foyer of lecture hall, office of the manager of the conference site. 
Access to the thin-wire Ethernet is possible at self-bridging outlets without breaking the net. The cables to connect to a transceiver are available.
A wireless LAN is available, too. Transceivers for laptops (PCMCIA interface) may be rented at the reception. 

Rooms for Social Activities
There are several rooms available for social activities (Witches' room, Duke's study, garden room, red saloon, music room). After 8:00 p.m. you have to help yourself to the drinks. 

fitness room
Our fitness room is located in the "Jagdzimmer". There we have a treadmill, a steering gear, a cross trainer and a spinning bike. For this area sport shoes are requested.


Phone calls
Each guest room can be reached directly (+49 8022 279 + extension); the extension is usually identical to the room number. Manual switching of incoming calls is possible only to a limited extent. For this reason the participants should be asked to use the direct calling facility only. 

Conference Information
For planning and charging of a conference we need a list of participants containing the home organisation, a program schedule and a plan of the guest rooms' occupancy. Distribution of the guest rooms should be done by the organizer, using the room list. These data should be sent to the management of Ringberg Castle a week before the conference. 

Cancellation of reservations
If confirmed reservations have to be cancelled, or if there is a significant change in the number of participants, this should be communicated to the conference site as early as possible.

Board and Lodging
Beginning 2004 board and lodging are no more free for the staff of the Max-Planck-Gesellschaft.
For all guests the following rates are charged:

Dinner  13,-- €
Tagungspauschale 10,-- €

The full board rate of 100 € includes one drink at the meals and refreshments during the breaks. Additional drinks are charged separately. Vegetarian meals can be serverd if ordered in advance.
We accept EuroCard, MasterCard, Visa and prefere EC-Cards. 

When organizing a conference, please keep to the following times if possible:

Lunch  12.30 p.m.
Afternoon coffee break 3.30 p.m.
Dinner  6.30 p.m.

Reservation
Reservation of the castle is made after written application by the organizer. The application should contain the topic of the conference, the expected number of participants, their home organization as well as the desired period of time and possible alternatives. Applications for reservation can be submitted from the beginning of January for the next following year. They should be sent by the institute's or department's management to the conference site directly. 

Reservations are valid only if confirmed in writing.
